Most corporate event briefs we receive name a budget. Most of those budgets are guesses. They come from an internal finance template, a colleague's loose recall of a previous evening, or a quote one vendor produced three years ago. The result is that procurement teams arrive at the studio asking for a RM 80,000 evening that a fair vendor cannot deliver, or worse, signing off on a RM 220,000 evening that could have landed for RM 145,000 if anyone had looked closely at the line items.
Below is the line-by-line shape of a typical RM 145,000 gala evening for 350 guests at a five-star Klang Valley hotel. The numbers are real — they come from three productions we delivered in 2024 and 2025, averaged and lightly rounded. If you compare them against a quote you have on your desk and the proportions do not match, treat that as a useful signal.
1. Venue and F&B — 42% (RM 60,900)
The single largest line, and the one most frequently misjudged. A reputable Klang Valley five-star hotel ballroom for 350 guests in 2025 ran at RM 145–185 per pax on a banquet package, with a venue minimum spend that effectively set the floor.

Where companies overpay: committing to the venue's house package without negotiating the cocktail-hour additions. A cocktail hour priced per guest at RM 35 turns out, after consumption analysis, to be a 40% over-order for most Malaysian corporate audiences.
2. Production and AV — 22% (RM 31,900)
- Stage build & set elements: RM 12,800
- Audio package (FOH, monitors, comms): RM 6,400
- Lighting package: RM 7,200
- Video package (LED wall, switching, playback): RM 5,500
Where companies overpay: over-engineering the LED wall. A 4 mm pitch LED wall reads identically to a 3 mm pitch from row three onwards. The 1 mm pitch difference costs about RM 4,500 on a 4m × 2.5m build. Spend it on better lighting instead.
3. Talent, hosting and entertainment — 14% (RM 20,300)
- MC pairing (bilingual, senior): RM 6,500
- Live entertainment (jazz trio or chamber set): RM 7,800
- Special-moment performance (one): RM 6,000
Where companies overpay: booking two entertainment acts when one well-chosen act will hold the room. The second act is rarely on long enough to warrant the rider, and the rotation cost (sound check, rehearsal) eats the saving.
4. Photography, video and content — 7% (RM 10,200)
- Lead photographer + assistant for full evening: RM 4,800
- Video team (2-camera, edited highlight): RM 5,400
Where companies overpay: commissioning a six-minute highlight reel. Internal teams report that the 90-second cut gets shared, watched and remembered. The longer version sits in a Sharepoint folder unwatched.
5. Florals, styling, signage and print — 6% (RM 8,700)
- Florals (centrepieces, entry installation): RM 4,500
- Print collateral (menus, place cards, programmes): RM 2,200
- Signage (wayfinding, welcome wall): RM 2,000
Where companies overpay: centrepieces that are too tall to talk over. A 65 cm tabletop installation prevents conversation across the table — the wrong outcome for a corporate dinner. Specify height, not just style.
6. Production fee and contingency — 9% (RM 13,000)
- Studio production fee: RM 9,500
- Contingency reserve (5%): RM 3,500
This is the studio's fee for design, vendor management, rehearsal, day-of stage management and post-event reporting. A studio that quotes substantially less than 8% on a brief at this scale is either understaffing the project or planning to recover the margin elsewhere — usually in vendor markups you cannot see.
If your gala budget quotes a 3% production fee and a 1.5% contingency, ask the studio where the missing margin lives. The honest answer is "in the vendor invoices."
The honest summary
Most Malaysian corporate evenings can be delivered properly for between RM 350 and RM 500 per guest at this scale. Below RM 350, something is being skimped that the guests will notice. Above RM 500, something is being added that the guests will not. The job of a competent production studio is to land in the middle and tell you, line by line, why.
