Policy

Cancellation, return & refund policy.

Last updated 12 May 2026. Event production is a custom service. This policy explains what happens when an event is cancelled, postponed or scoped down, and how deposits are handled.

1. We do not sell physical products

Linktura Stage Events Sdn Bhd is a service business. We design, plan and produce events. There is nothing on this website to add to a cart or ship to your door, and therefore no consumer-style returns process applies.

2. Deposits

A 30% deposit is invoiced at engagement and is payable within fourteen days of acceptance of the Engagement Letter. The deposit secures studio capacity, blocks the date in our calendar, and funds the early-stage discovery and design work. The deposit is non-refundable once any of the following have occurred:

  • The studio has commenced concept development on your behalf.
  • Vendor holds have been placed on dates, venues or talent.
  • Twenty-one calendar days have elapsed from the Engagement Letter signing date.

If you cancel before any of those triggers occur, the deposit will be refunded in full within fourteen working days.

3. Cancellation by the client

If you cancel a confirmed engagement, the following schedule applies in the absence of more specific terms in your Engagement Letter:

  • More than 90 days before event date: deposit forfeited, no further charge.
  • 60–90 days before: deposit forfeited plus 25% of remaining contract value.
  • 30–59 days before: deposit forfeited plus 50% of remaining contract value.
  • 15–29 days before: deposit forfeited plus 75% of remaining contract value.
  • 14 days or fewer: 100% of contract value invoiced.

Vendor cancellation fees (venue, AV, talent, catering) that are non-recoverable will be invoiced separately at cost. We will share copies of vendor cancellation invoices for transparency.

4. Postponement

We treat postponement as preferable to cancellation. If your event needs to move, contact us at the earliest opportunity. We will:

  • Move design and planning work to the new date at no additional studio fee, provided the new date is within twelve calendar months and is not a peak season weekend.
  • Renegotiate vendor holds where possible. Vendor change fees, if any, are passed through at cost.
  • Re-issue an updated Engagement Letter reflecting the new dates and any scope adjustments.

5. Cancellation by Linktura

In the unlikely event we must cancel an engagement (force majeure, illness affecting the lead producer with no available cover), we will:

  • Refund any deposit and pre-paid amounts in full within ten working days.
  • Where possible, recommend a partner studio able to take on the engagement.
  • Make ourselves available to support handover at no additional charge.

6. Force majeure

If either party is prevented from performing the engagement by an event outside reasonable control (severe weather, public health emergency, government order, infrastructure failure affecting the venue), the affected party is excused from performance to the extent of that prevention. We will work in good faith to postpone rather than cancel. Vendor pass-through costs that are non-recoverable will be invoiced at cost.

7. Disputes

Most cancellation conversations are resolved by a direct discussion with the senior producer on your engagement. Where they cannot be, escalate to [email protected]. Unresolved disputes are governed by the laws of Malaysia and the exclusive jurisdiction of the Malaysian courts.
